Job Purpose and Basic Function   

 

Enter payment request in accounting system.  File paid invoices and documentation as part of the cash disbursement cycle. Including keeping AP filing up to date to facilitate ease of research. Mail vendor payments.  

 

 

Description of Primary Responsibilities and Duties 

 

  • Enters payment requests (vendor invoices, check requests, travel advances and membership overpayments in accounting system 
  • Ensure payments have proper approval signatures, purchase order numbers and funding codes. 
  • Enter new vendors in AP system along with EFT payment information along with any other additional information that is needed to ensure proper payment to vendor. 
  • Match checks with invoices and other supporting documentation to maintain accounts payable filing. 
  • Work with vendors and staff to clear up any outstanding checks for reconciliation. 
  • Update fixed assets database with new items. 
  • Prepare and send “Contract Tracking Memo” to vendors for new contracts and addendums. 
  • Create, update, and maintain all vendor contract files. 
  • Responds to all emails from vendors and internal staff on accounts payable issues. 
  • Prepares monthly journal entries for postage and office copiers. 
  • Assist with review and processing of 1099’s 

 

 

 

Technical Skills 

  • Experience with accounting software (Microsoft Dynamics SL or Great Plains preferred) 
  • Knowledge of word processing (Microsoft Word), spreadsheets (Microsoft Excel)   
  • Must be able to organize and prioritize work, pay attention to detail, be proactive, take initiative, resolve problems, follow through, and simultaneously manage multiple priorities to ensure goals are met in a timely manner.   
  • Excellent written and verbal communication skills 

 

Salary Range: 

$60,000 - $64,400
